We are seeking an experienced Business Administrator to provide daily administrative support for our company’s operations in Japan, Singapore, and Malaysia, as well as for cross-border projects. The ideal candidate will have excellent communication and organizational skills, be well-versed in administrative procedures, and be able to execute administrative processes efficiently. The goal of this role is to ensure all administrative activities are carried out effectively, allowing other operations to function smoothly.
Compensation & Benefits
- Flexible Hours: You will have flexible hours but are expected to be available for 40 hours a week.
- Starting Salary: The starting salary is JPY 300,000, which includes a 30-hour monthly fixed overtime allowance (Kotei Zangyo).
- Flexible Location: You are free to work from anywhere in the world, but you must have a Japanese residential address and a Japanese bank account for salary deposits.
- Work Schedule: You must be available to work during Singapore's office hours.
- Equipment: You will be expected to work on your own PC, but a mobile phone or SIM card will be provided for work communication purposes.
Responsibilities
- Operational Support: Plan and coordinate operational scheduling with our operations team and contractors in Singapore and Malaysia.
- Administrative Management: Create documents and manage deadlines for all administrative activities. Ensure all administrative systems are operational and procedures are followed.
- Customer & Team Communication: Provide customer support for clients in different countries and manage all correspondence (calls, emails, instant messaging) promptly.
- Financial & Reporting Tasks: Liaise with the Finance and Sales teams to support accounting, contracts, invoicing, and payment processes. Report critical administrative updates and issues to the Director.
- Information Flow: Organize and manage documents, records, and data. Ensure the smooth flow of information within the company to facilitate other business operations.
- Compliance & Development: Ensure operations adhere to company policies and regulations. Keep up with all organizational changes and business developments.
- Availability: Be available for urgent inquiries or requests from clients, which may occasionally occur in the evening.
Requirements and Skills
- Experience: Proven experience as a Business Administrator, Administrative Assistant, or in a similar role in international businesses.
- Technical Skills: Familiarity with Google Calendar, Zoom, Slack, or similar tools. Proficient in MS Office applications (Excel, Word, PowerPoint).
- Soft Skills: Strong organizational and multitasking abilities. A team player with the ability to work independently with minimal supervision. Excellent communication and interpersonal abilities.
- Education: A degree in a business-related field is an advantage.
- Language: Business level in both written and spoken English and Japanese.

有期・無期問わず正社員の場合

固定残業代あり:月給 ¥300,000は1か月当たりの固定残業代¥56,976(30時間相当分)を含む。30時間を超える残業代は追加で支給する。
